Running a house tab (credit limit)

Let a trusted guest pay later, up to a limit you set — and see who owes what, and for how long.

3 min read

A tab lets a guest take food now and settle later. The credit limit is the permission: staff can charge to the tab up to that number and not a cent past it, so “put it on my account” is never an argument at the till.

The scenario

The architects’ office next door sends someone down for lunch most days and wants one invoice at the end of the month. You agree to a limit of 300. Today’s order is 42.50.

Set up the tab

  1. 1Open CRM › Customers, find Architects Ltd (or add them — see Adding a customer).
  2. 2Open the ⋯ menu on their row and choose Edit, or press Edit at the top of their profile.
  3. 3Set Tab credit limit to 300 and press Save. You’ll see Saved. That number is the most their balance can go below zero.

Charge lunch to the tab

  1. 1On the POS, build the order as usual, then tap Add customer and pick Architects Ltd.
  2. 2Go to payment. Next to cash and card there is now a Balance tender showing exactly what’s available: 300.00.
  3. 3Take 42.50 on Balance. The check settles; their balance is now −42.50.

What you’ll see

  • On the Customers list, their row shows the negative balance and how long it has been running — 0–30, 31–60 or 60+ days — so a tab never quietly grows old.
  • On the POS, if a waiter tries to charge 270 when only 257.50 is left, Balance refuses. The limit does the policing, not the waiter.
  • Every charge is a line in their ledger with the check number, so the month-end invoice writes itself.

Send them a statement

  1. 1Press Statement at the top of the customer’s profile.
  2. 2Choose where the activity starts: When the tab was last clear (everything still unpaid), The last 30 days, The last 3 months or Pick a date. Leave Add a copy of each receipt on to attach every receipt in full. The dialog shows the receipts, payments and Amount due before you go on.
  3. 3Press Create statement. It opens in a new tab: your logo, the date it was created, what they owed before, plus what was charged, minus what they paid, equals the Amount due — then one line per receipt or payment with the balance after it, and the receipt copies on the next page.
  4. 4Press Save as PDF and choose Save as PDF as the printer. Send the file however you like.

Settle the tab at month end

  1. 1Press Adjust balance at the top of the customer’s profile (or choose it from the ⋯ menu on their row).
  2. 2Enter the amount they paid you — say 240 — as a positive number under Amount (±), add a note like September invoice, bank transfer, and press Apply.
  3. 3Their balance moves from −240.00 back to 0.00. The note stays in the ledger for both of you.
TipA void or refund on a tab-paid check puts the money straight back on the account by itself. You never “fix” a balance by hand — you record what actually happened, and the balance follows.
