Payment history: what each status means
Paid, Re-paid, Refunded and Part-refunded — and how to find a specific check fast.
2 min read
Payment history is every settled check on the branch, with what was taken, how, and by whom. Its status column is built for one job: spotting refunds at a glance.
The four statuses
- Paid — settled, no refunds. The ordinary case.
- Re-paid — a payment was refunded and the check was collected again, in full. Settled, nothing outstanding — shown separately from Paid so the refund stays visible.
- Refunded — everything was given back and nothing is held.
- Part-refunded — money was returned and the check is genuinely short of its total. This one deserves a look. (It shows as a badge; the Status filter has Paid, Refunded and Re-paid.)
Finding a check
- 1Type into Search #, reference, table… — “4821” finds a delivery order by the platform reference staff typed when they keyed it in.
- 2Open Filters: Order type, Channel (which delivery platform), Method (cash, card, balance…), Status, Discounts to audit who discounted what, Amount and Dates.
- 3Pick Today, 7 days or 30 days at the top. Tap a row for the full order and its payments: Receipt reprints it, Refund opens its payment sheet, Open check goes to the check.
On the main terminal, with or without internet
- The Mac or Windows main terminal keeps the last three days — today and the two before — on the computer. Those days open instantly and still work offline: reprint, refund, open the check.
- Older dates, and a table’s own history, come from the cloud and need the internet. Offline, the list shows what the terminal has, with the note Offline — showing the checks on this terminal. Older history needs internet.
TipA table’s own history — “what did T4 order last week?” — is one tap on the floor: open the table’s actions and choose History. Payment history is for the branch as a whole, and the dashboard has the same list underPOS › Payments.
